Our client is a mid-sized retail chain operating 15 apparel and accessories outlets across three major cities in the US. With a growing customer base and an expanding store network, the business had built a strong regional presence in the apparel and accessories market.

 

However, each store relied on a standalone POS system, resulting in fragmented operations and limited visibility for the head office. Critical functions such as sales tracking, inventory management, and pricing updates were managed in isolation, creating inefficiencies and inconsistencies across locations that the business could no longer afford to ignore. Our client struggled with fragmented systems that limited visibility and slowed growth. Our Solution

To address the client's challenges, we implemented ERPNext, leveraging its built-in POS integration, real-time multi-warehouse inventory management, and centralized pricing controls. Its open-source framework offered a lower total cost of ownership while providing a scalable platform to unify operations across all outlets. Throughout the implementation, our team used AI-assisted development and testing practices to accelerate delivery, reduce configuration errors, and ensure a stable rollout across all 15 locations.

  • POS Configuration & Rollout: ERPNext POS was deployed across all 15 stores with real-time synchronization to the central ERP database. To ensure uninterrupted operations, offline mode was also configured, allowing billing to continue during internet outages with automatic syncing once connectivity was restored.
  • Centralized Inventory Management: All warehouses and outlets were linked under ERPNext’s Stock module, enabling real-time updates on sales, transfers, and returns across locations. Barcode-based item tracking was also introduced to improve accuracy and reduce errors in inventory handling.
  • Unified Pricing & Promotions: ERPNext’s Item Price List was implemented to maintain consistent pricing across all outlets. In addition, promotional campaigns could now be created centrally and instantly reflected at every POS terminal.
