Stakeholders now submit Activity Requests directly through the portal, where validations ensure data accuracy before creating new activity records. Reviewers receive automated notifications guiding them through approvals or requesting clarifications when needed. With follow-up prompts and instant status updates, the approval cycle that once relied on emails and spreadsheets now runs efficiently and transparently within Salesforce.
  • Representative Enrollment & Assignment:
    Representative onboarding and engagement were streamlined with custom Experience Cloud screens. Once an activity is approved, Salesforce automatically identifies qualified representatives and sends Expression-of-Interest invitations. Their responses are captured through screen flows and processed based on filtering rules like availability, program alignment, and past engagements. After selection, both stakeholders and representatives receive confirmation emails, ensuring smooth coordination without manual follow-ups.
  • Digitized Claims Submission & Review:
    The claims process was transformed into a digital, automated workflow. Assigned representatives can now submit claims directly through the Experiential portal, attaching receipts and linking them to their approved activities. Salesforce routes each claim to the appropriate reviewer or finance approver based on predefined rules. The system also supports instant clarification requests and automated status notifications, eliminating delays and manual tracking across multiple tools.
  • Xero Integration for Financial Processing:
    To streamline reimbursement and financial reconciliation, Ksolves integrated Salesforce with Xero using secure Named Credentials and Apex. Once a claim is approved, it is automatically pushed to Xero with the correct nominal codes, ensuring accurate accounting. Receipt attachments are sent as bill documents, and payment confirmations flow back into Salesforce for audit and reporting. The integration supports both scheduled and event-based syncs, giving finance teams real-time visibility into all transactions.
