Overview

Our client is a mid-market cosmetics, beauty, and fragrance company operating a multi-channel retail model spanning five major eCommerce marketplaces, including Amazon, Flipkart, Meesho, Myntra, and Snapdeal, alongside direct B2B and D2C channels. The business maintains 8 to 10 virtual warehouse locations across six GST-registered states and processes close to 10,000 units per day.

 

Prior to this engagement, all marketplace operations were managed through EasyEcom with no ERP back-end, resulting in manual order entry, disconnected accounting in Tally, and zero real-time inventory visibility across the warehouse network. Ksolves was engaged to deploy Odoo 19 as the unified ERP platform and build the full EasyEcom V2 integration layer on top of it.

Key Challenges

The business faced growing operational complexity as order volumes increased across marketplaces, inventory, tax, returns, and accounting.

  • Manual Order Handling Across Five Marketplaces: Marketplace orders were manually downloaded from EasyEcom and re-entered into spreadsheets, consuming significant staff time across five channels. There was no automated sync, duplicate prevention, or connection to accounting and inventory.
  • No Real-Time Inventory Visibility: Stock across 8–10 virtual warehouses was tracked manually, with no live inventory view, FIFO enforcement, or expiry tracking. This increased the risk of overstocking, shortages, and expired cosmetics stock.
  • Six-State GST Compliance Fully Manual: GST calculations and IGST/CGST-SGST splits across six GSTINs were handled manually. GSTR-1 and GSTR-3B preparation also required significant effort, increasing compliance and error risks.
  • Returns Creating Multi-Day Reconciliation Backlogs: Returns required manual invoice matching, credit note creation, and stock reinstatement. Each cycle took 2–5 business days, creating backlogs and delaying accounting updates.
  • Disconnected Accounting in Tally: Tally operated separately from marketplace and inventory systems, requiring manual payment reconciliation. There was no automated flow from marketplace orders to accounting entries.
  • No Webhook Reliability or Retry Mechanism: Failed marketplace webhooks could result in silent order loss, with no automated retries, alerts, or audit trail. This made integration failures difficult to detect and resolve.
Our Solution

Ksolves, an AI-first Odoo development company, implemented Odoo 19 across nine business modules and built a complete EasyEcom V2 integration layer. The solution automated marketplace orders, inventory, GST, returns, and key accounting workflows.

  • Marketplace Order Sync: A public Odoo REST controller receives marketplace events in real time, while queue jobs process them asynchronously. An upsert pattern prevents duplicate orders, and generic marketplace partners keep the customer master clean.
  • B2C Auto-Processing and B2B Draft-Hold Routing: B2C orders are automatically confirmed, delivered, and invoiced. B2B orders follow the same flow, but invoices remain in draft until the finance team verifies the buyer's GSTIN.
  • Webhook Reliability Engine: All six EasyEcom event types are logged and processed with automatic retries at 15 minutes, 1 hour, 6 hours, and 24 hours. After four failures, admins receive an email alert for manual intervention.
  • Real-Time Inventory Synchronisation: Odoo syncs inventory from EasyEcom every hour across all warehouse locations. Missing SKUs are automatically created and flagged for finance review, preventing synchronization failures.
  • Automated Return-to-Credit-Note Flow: Returned events automatically trigger credit note creation and posting against the original invoice. Stock is also moved back to the correct warehouse, reducing the return-to-credit-note cycle from days to the same business day.
  • GRN Automation With QC Split and Three-Way Match: GRNs are matched against purchase orders, while received stock is automatically split between sellable and QC-failed locations. FIFO is applied to accepted stock, while partial receipts create backorders for pending quantities.
  • Inventory and Warehouse Management: 8–10 virtual warehouses were configured with location hierarchies and transfer rules. Lot tracking, 36-month expiry calculation, FIFO, and inbound QC workflows were implemented across warehouses.
  • Procurement and Vendor Management: Purchase orders include payment terms, down payments, and debit notes. Vendor data was migrated using validated templates, with three-way PO, GRN, and vendor bill reconciliation enforced.
  • Accounting and Financial Management: The Chart of Accounts and opening balances were migrated from Tally. Payment reconciliation was automated, with separate journals maintained for each GSTIN branch.
  • Product and Master Data Management: Products were organized across Finished Goods, Raw Materials, Packaging, and Stationery. BOMs, cost tracking, UoM conversions, and 36-month shelf-life rules were configured to support future MRP expansion.

  • FIFO and Expiry Tracking Across All Warehouses: Lot-level tracking, 36-month shelf-life calculation, and FIFO enforcement help reduce expiry risk across cosmetics inventory.
