Built End-to-End Component Traceability on ERPNext v16 for a Smart Infrastructure Hardware Manufacturer
![]()
Our client is a Pacific Northwest hardware manufacturer building LiDAR and computer-vision sensor devices for roadway safety and smart-city infrastructure. The company procures components such as sensors, cables, enclosures, and cameras, assembles them into finished units, and ships configured devices requiring long-term serial-level traceability.
Before ERPNext, procurement, assembly, and shipping relied on fragmented spreadsheets, with no connected system tracking components from vendor receipt through assembly, shipment, and field deployment. The client needed end-to-end traceability along with integrated accounting through its existing QuickBooks setup. Ksolves delivered a fast-tracked 8-week ERPNext Phase 1, covering procurement through finance, followed by a dedicated QuickBooks integration phase.
The client needed a platform that replaced spreadsheet-based tracking with serial-level traceability and system-enforced quality controls, without disrupting existing accounting continuity.
- Fragmented, Spreadsheet-Based Procurement and Assembly: Hardware procurement, assembly, and shipping ran on manual processes and spreadsheets, with no unified system tracking a component from vendor to finished product.
- No End-to-End Serial Number Traceability: Components and finished devices weren't systematically linked to their source purchase receipt, making it hard to trace a field issue back to a specific vendor batch.
- No System-Enforced Quality Gate Before Stocking: Incoming components and finished goods could move to stock without inspection, with no structured defect or vendor-return process.
- Manual Firmware/Software Version Tracking Per Device: Recording which firmware and software version shipped on each device had no dedicated system field, complicating post-sale support.
- Disconnected Shipping and Delivery Documentation: Generating shipping labels and surfacing carrier tracking numbers to customers wasn't tied to the delivery process.
- No Bidirectional Accounting Sync: Financial data, including invoices, payments, customers, and vendors, needed to flow to QuickBooks without manual dual entry.
Ksolves, an AI-first ERPNext implementation partner, delivered Phase 1 as an 8-week fast-track implementation across procurement, assembly, quality, inventory/shipping, CRM, and finance, followed by a dedicated 2-week Phase 2 for QuickBooks integration.
- Serialized Procurement From Day One: Every hardware component, including sensors, cables, enclosures, and cameras, is now linked to its source Purchase Receipt at the point of intake, with vendor-wise landed cost tracking built in.
- BOM-Based Assembly With Work Orders: Bills of Materials define the component list per finished product model, with Work Orders tracking components consumed, labor applied, and output produced per assembly run, and automatic COGS calculation per assembled unit.
- Firmware and Software Version Capture Per Serial Number: Each shipped unit's installed firmware and software version is now recorded against its Serial Number and linked to the customer delivery record.
- Quality Inspection and Vendor Return Workflow: Incoming components and finished goods run through mandatory Quality Inspection before stocking, with defect recording by severity and root cause, and a Purchase Return workflow that auto-generates vendor credit notes.
- Multi-Stage Warehouse Tracking With Shipping Integration: Stock moves through a defined Main Warehouse → Assembly → Finished Goods → Shipped-to-Customer flow, with FedEx/UPS/USPS label generation tied to Delivery Notes and tracking numbers surfaced on customer-facing documents.
- QuickBooks Bidirectional Sync: Invoices, payments, customers, and vendors now sync automatically between ERPNext and QuickBooks, with the Chart of Accounts mapped for accurate financial reporting.
- Post-Sale Issue Tracking Linked to Serial Numbers: The Issue/Ticket module ties every post-sale problem back to the specific serialized product, enabling traceability to the original component batch and vendor for recalls or claims.
Technology Stack
| Category | Technology |
|---|---|
| Platform | ERPNext v16 on Frappe Framework |

| Shipping | FedEx / UPS / USPS label generation and tracking |
A unified ERPNext v16 platform now connects procurement, assembly, quality, shipping, and accounting under one traceable system.
- Full Traceability From Vendor to Field Deployment: Every serialized unit can now be traced from its source purchase receipt through assembly, shipment, and field installation, replacing tracking that previously depended on manual records.
- Quality Issues Caught Before Stocking: Incoming components and finished goods now pass through a mandatory inspection gate, with defects and vendor returns logged systematically rather than tracked ad hoc.
- Shipping and Delivery Documentation Now Connected: Carrier tracking numbers generate and appear on customer-facing documents directly from the Delivery Note, rather than being handled as a separate step.
- Financial Data Flowing Without Manual Re-Entry: Invoices, payments, customers, and vendors now sync automatically to QuickBooks, removing duplicate data entry between systems.
- Post-Sale Issues Traceable to Source: Every service issue links back to its specific serialized product, component batch, and vendor, supporting recalls and claims.
This engagement shows what a fast-tracked ERPNext implementation can deliver for a hardware manufacturer where component traceability is a safety requirement, not just an operational nicety. By building serial number tracking into procurement, assembly, and shipping from day one, and connecting it to QuickBooks for financial continuity, Ksolves gave the business a system that treats every unit’s vendor-to-field history as first-class data. The company now runs procurement, assembly, quality control, shipping, and accounting on one connected platform, with the traceability required to support safety-critical infrastructure deployments.
