Our client is a pharmaceutical distribution company operating across Uttar Pradesh and Bihar, with purchasing, inventory, and billing managed on Marg ERP for years. As the business expanded, it needed centralized HQ visibility, automated customer communication, built-in drug-licence and credit controls, and proactive alerts for expiring and slow-moving stock, capabilities its desktop-based system could not provide.

- Branch-Siloed Reporting Under Marg ERP: Inventory, sales, and outstanding dues across the Uttar Pradesh and Bihar branches had to be assembled manually for any HQ-level view, with no consolidated reporting layer.
- No System-Enforced Vendor Rate Governance: Purchase rates could drift from the standard cost-plus formula without a system check, with no structured approval gate when a vendor's actual rate exceeded the agreed formula.
- Manual Customer Communication: Invoice sharing, payment reminders, and quotation follow-ups depended on manual outreach rather than automated triggers.
- No Enforced Credit or Drug-Licence Controls: Category-wise credit limits (Retail vs. Wholesale) and drug-licence validity tracking per party needed system enforcement rather than manual checking.

- Dual Entry Risk During the Transition: The finance team needed to keep Tally current for accounting continuity while operating day-to-day on the new platform, without manually re-entering every transaction twice.

- Vendor Rate Governance and Quality Gates: Purchase Orders and Receipts now run through a mandatory Quality Inspection step before stocking, with a Purchase + 15% margin formula auto-calculating pricing and routing any rate that exceeds the formula to Admin approval.
- Batch and Lot Traceability From Purchase to Dispatch: Batch-wise stock tracking with manufacture date, expiry date, and vendor source now carries through from purchase receipt to customer invoice.
- Automated Expiry and Stock-Health Alerts: Dashboards flag items expiring within 120 days, items with no sale in 90 days, and near-zero "dummy stock," all configurable per branch.
- WhatsApp and Email Automation on Billing: WATI/Interakt-based automation now triggers on invoice creation, payment reminders, and quotation/proforma non-conversion follow-ups.
- Category-Wise Credit Limits and Drug-Licence Tracking: The Party Master was enhanced with separate Retail vs. Wholesale credit configurations and drug-licence validity tracking with expiry alerts.
- Tally Live Sync for Accounting Continuity: Sales Invoices, Purchase Invoices, Payments, and Journal Entries now push to Tally in real time via XML API, eliminating manual dual entry during the transition.
- Admin Approval Workflows and Security Controls: New Product and Party Master entries route to Admin for approval before activation, with IP whitelisting and OTP-protected (2FA) backups configured on Frappe Cloud.

Moving off a mature desktop ERP looks different when the business has outgrown single-branch operation.
