Automating 700+ Hotel Rooms Across Europe: 30% Cost Reduction via IoT
Overview

Our client is a hospitality technology company, building a SaaS-based IoT automation platform for hotel owners, Airbnb operators, wellness properties, and multi-property groups across Europe, with a strong presence in the DACH region. The platform eliminates the need for night reception staff by automating guest access, digital check-in, and energy management through smart hardware that installs without renovation or rewiring.

With over 700 rooms already running on the platform across multiple European properties, the client engaged Ksolves to design and deliver the full technology stack: IoT device integration, a browser-based guest interface, a multi-tenant cloud backend, and direct PMS connectivity.

Key Challenges

Unsustainable night reception costs, physical key management, energy waste in vacant rooms, and fragmented smart-device protocols made hotel automation difficult to adopt without costly renovation.

  • Night Reception Staff Costs: 24/7 front desks created high and difficult-to-manage night-shift labour costs, with no practical way to reduce staffing without a digital alternative.
  • Lost Keys and Physical Access Card Expenses: Physical keys and cards created recurring replacement costs and security gaps, with manual provisioning, revocation, and rekeying required for lost cards or extended stays.
  • Energy Wasted in Unoccupied Rooms: Heating and cooling continued running regardless of occupancy, with no automated way to detect vacancy, open windows, or checkout and adjust energy usage.
  • No Automated Guest Journey: Check-in, access provisioning, and checkout remained manual, creating queues, delays, and additional staff workload while limiting the guest experience.
  • PMS Disconnection From Physical Operations: Booking data remained within the PMS without an automated link to access control, energy activation, and guest registration, requiring staff intervention after each booking.
  • Multi-Protocol Device Fragmentation: Hospitality devices use different protocols such as Wi-Fi and Zigbee, making unified management difficult and limiting hardware flexibility without vendor lock-in.
  • Renovation Barrier to IoT Adoption: Many operators believed smart room automation required expensive rewiring and construction, limiting adoption to new-build or fully refurbished properties.
Our Solution

Ksolves designed and delivered a full-stack IoT hospitality platform built around a retrofit-by-design approach. The solution works with existing hotel infrastructure without rewiring or renovation and connects with the PMS to automate guest access, registration, and room energy management.

  • PMS Integration Layer: The platform integrates directly with the existing PMS, automatically triggering access provisioning, guest registration, and checkout-linked energy shutoff from confirmed booking data.
  • Smart Access Control, Digital Locks and Auto-Generated PIN Codes: Smart locks issue temporary digital keys and PIN codes for each booking, enabling contactless entry while eliminating physical key management and manual access revocation.
  • Browser-Based Guest Interface, No App Required: A mobile browser interface enables online registration, digital check-in, and room access without requiring guests to download an app, reducing onboarding friction.
  • IoT Energy Automation, Smart Thermostats and Sensors: Smart thermostats, presence sensors, and window sensors automate room energy rules, including pre-heating, window-based HVAC pauses, and automatic shutdown after checkout.
  • Multi-Protocol Device Orchestration, Wi-Fi and Zigbee: A protocol abstraction layer enables the platform to manage Wi-Fi and Zigbee devices from multiple hardware vendors through a unified control layer.
  • Multi-Tenant Cloud SaaS Architecture, GDPR-Compliant: The platform uses a scalable multi-tenant architecture that allows hotels and multi-property groups to operate as isolated tenants with their own configurations and PMS integrations.
