Overview

A mid-to-large enterprise running business intelligence and KPI reporting across multiple customer accounts, regions, and technology domains had reached a breaking point with Grafana. Every distinct combination of customer, region, and technology required its own dashboard. As the number of business entities grew, the dashboard estate grew proportionally, with maintenance updates needing to be applied manually across dozens of near-identical views. Challenge

Dashboard Proliferation Across Customers, Regions, and Technologies: Every distinct combination of customer, region, and technology required a separately maintained Grafana dashboard. As the number of business entities grew, the dashboard estate expanded proportionally, creating a sprawling library of near-identical views that duplicated effort across every creation, update, and bug-fix cycle.

  • No Self-Service Filtering for Stakeholders: Users had no ability to filter or pivot their analysis independently. Accessing a different region, customer account, or technology dimension required raising a request with the BI team, who then redirected to a different dashboard or built a new one, constraining stakeholder autonomy and delaying decisions.
  • Maintenance Overhead Compounding with Every New Dashboard: Because each dashboard was a standalone artefact, any update to a shared KPI definition, visual standard, or data source connection required the same change to be applied manually across every affected dashboard. Ksolves redesigned the Grafana reporting architecture around three core capabilities: the Variable Framework for dynamic cascading filters, unified multi-source data integration, and an extended plugin ecosystem for advanced visualisation. The governing principle was one template, every dimension: a single Grafana dashboard template, governed by variables, serves every customer, region, technology, and KPI category combination, with all panels updating automatically when any variable selection changes.

  • Cascading Variable Framework: Five interconnected variable types were implemented, covering Customer Selection, Region Selection, Technology Selection, Date Range Filters, and KPI Category Filters. Variables automatically fetch their available values from the underlying databases, support multi-value selection for bulk comparisons, and cascade selections so that choosing a Customer automatically scopes the available Regions, then Technologies. Every panel refreshes automatically on any variable change with no page reload and no BI team involvement.
  • Unified Multi-Source Data Integration: Four data source types were connected to a single Grafana reporting platform: PostgreSQL for relational BI and operational data, Apache Druid for real-time analytics and high-cardinality event streams, Prometheus for infrastructure and operational metrics, and REST APIs for external system integration. All sources are queried dynamically within the same dashboard templates, eliminating the need for separate reporting tools per system.
  • HTML Graphics Plugin for Custom KPI Cards: The Grafana HTML Graphics Plugin was deployed to build bespoke KPI card layouts, interactive visualisations, and dynamic text rendering that Grafana's native panel library could not produce, enabling executive-facing dashboards to match board-level reporting standards without a custom frontend application.
