Ksolves Reduces Manual Portal Logins to Zero for Workday HR Teams
Overview

A large enterprise organization with over 500 employees and a high-volume recruitment function runs Workday HCM as its system of record, from candidate sourcing through onboarding. Every time a recruiter advanced a candidate, the compliance step that actually mattered, the background check, lived entirely outside Workday. Recruiters had to exit the platform, log into a separate screening portal, and re-key candidate data that already existed in their own system. Ksolves built a custom Aggregator middleware layer that bridges Workday and the screening vendor without touching either platform’s core architecture. Manual portal logins dropped to zero, and background check initiation now triggers in under 30 seconds.

Challenge
  • Mandatory Platform Context Switch: Every background check required recruiters to exit Workday, re-authenticate into a separate screening portal, and locate the candidate record again, a disruptive break repeated for every single hire.
  • Duplicate Data Entry Across Systems: Candidate information already validated in Workday- names, dates of birth, addresses- had to be manually re-entered into the screening portal, creating redundant effort and a persistent risk of mismatch.
  • No Feasible Direct API Integration: The background screening vendor offered no API compatible with Workday's native integration framework, leaving no standard automated path and no off-the-shelf connector.
  • Delays in Time-Sensitive Hiring Workflows: Manual initiation added meaningful lag between conditional offer acceptance and background check submission, pushing back start dates and raising the risk of candidate drop-off during the compliance hold.
  • Data Entry Errors Causing Screening Failures: Re-keying candidate data across platforms introduced transcription errors that triggered screening failures, requiring HR operations to investigate and correct records by hand.
  • No Real-Time Background Check Visibility in Workday: Recruiters had no way to monitor screening status inside their primary platform, so checking progress meant a separate portal login every time.
Solution

The governing principle behind the middleware was invisibility: recruiters keep working in Workday exactly as they always have, while the system intercepts candidate stage-change events in the background, maps the data, and orchestrates the background check automatically.

  • Aggregator Middleware Engine: A custom event-driven layer intercepts Workday candidate stage-change signals the moment a recruiter advances a candidate to the designated hire stage, triggering background check order creation automatically with no portal access needed.
  • API Data Mapping and Transformation Layer: Candidate data pulled from Workday gets validated, normalized, and transformed into the exact schema the screening vendor's REST API expects, with accurate field-level mapping and zero manual re-entry.
  • Automated Order Creation Orchestration: Background check orders compose and submit to the screening vendor automatically on stage advancement, collapsing what used to be a multi-step manual process into a single zero-touch trigger.
  • Bi-Directional Status Sync: Screening results are parsed and written back into Workday in near-real time, giving recruiters full visibility inside their own HCM platform with no supplementary portal logins at any stage.
  • Error Handling and Exception Alerting Framework: An inline validation layer catches malformed payloads, missing fields, or vendor API failures before they become silent screening gaps, routing exceptions straight to HR operations for immediate resolution.

Results: Custom middleware eliminated manual portal logins and cut background check initiation to under 30 seconds
  • Manual Portal Logins Eliminated: Background check orders now trigger automatically on stage advancement, with zero recruiter portal logins required at any point in the process.
  • Duplicate Data Entry Removed: A single validated entry point in Workday now drives all downstream screening data automatically through the mapping layer.
  • Background Check Initiation Under 30 Seconds: Automated order submission triggers in under 30 seconds from within the standard Workday hiring workflow, with no additional recruiter action required.
  • Real-Time Screening Visibility in Workday: Status updates write back to Workday in near-real time, giving recruiters single-platform visibility across the entire screening lifecycle.
  • Exception Rate Held Under 1%: Validated API mapping removes manual data transfer entirely, and the inline exception-alerting framework keeps the error rate under 1% by catching edge cases before they become silent failures.

Client Testimonial

“Our recruiters now advance candidates through Workday exactly as they always have; the difference is that the background check simply happens. The operational overhead we have eliminated from the hiring workflow has been significant, and the team’s confidence in the process and its data integrity has measurably improved.”

– VP of Talent Acquisition, HR Technology

Conclusion

Enterprise HR teams running Workday had a compliance step that lived entirely outside their own platform; every background check meant a recruiter leaving Workday, logging into a separate portal, and re-keying data that already existed. Ksolves built a custom Aggregator middleware layer that turned that manual detour into a zero-touch workflow triggered directly from Workday’s own hiring stage advancement.

Manual portal logins and duplicate data entry are gone entirely, background check initiation now happens in under 30 seconds, and the exception rate sits under 1%, removing a structural source of error from the hiring pipeline. The middleware pattern itself is reusable: it extends to any screening, onboarding, or compliance vendor that lacks native Workday API support, without requiring a new integration built from scratch each time.

With that friction gone, the organization is positioned to move faster on hiring decisions and extend the same middleware model to other third-party HR compliance workflows as they come up.
