Our client is a mid-market trading and distribution company in Saudi Arabia, managing procurement across multiple vendors with inter-vendor payment arrangements as part of its commercial model. They were running Odoo 18 Enterprise across Accounting, Purchase, and Inventory but had no workflow for inter-partner payable offsets. As a result, the finance team relied on incorrect open bills, dummy bank payments, or manual tracking outside Odoo, leading to inconsistent payables, incomplete audit trails, and time-consuming month-end reconciliation.
The lack of a structured offset workflow created accounting inconsistencies, reconciliation issues, and unnecessary manual effort.
- No Native Inter-Partner Offset Mechanism in Odoo: Odoo’s standard payable workflow assumes bills are settled through bank payments. Without a native offset function, finance teams had to rely on workarounds for inter-vendor payment arrangements.
- Dummy Bank Entries Corrupting Bank Reconciliation: Finance created dummy payments to close offset bills, generating bank entries without matching statement lines and leaving persistent unreconciled items.

This delivers the correct accounting outcome without dummy entries, spreadsheets, or custom development. Vendor#1 had a SAR 2,000 bill and Vendor#2 a SAR 3,000 bill. Vendor#2 agreed to pay SAR 2,000 to Vendor#1 on the company’s behalf, with no money leaving the company’s bank account.
- Confirm Both Bills Are Posted: Both vendor bills must be in Posted state before starting the offset workflow: Vendor#1 at SAR 2,000 and Vendor#2 at SAR 3,000.
- Create a Credit Note for Vendor#2: A SAR 2,000 Credit Note is raised for Vendor#2, reducing their payable for the amount paid on the company’s behalf. It is posted with the inter-partner payment reference and left unreconciled initially.
- Post a Journal Entry to Transfer the Offset Amount: A Miscellaneous Journal Entry transfers SAR 2,000 between the vendor payable accounts, debiting Vendor#1 and crediting Vendor#2. Once posted, it appears as an Outstanding Debit on Vendor#1’s bill.
- Reconcile Vendor#1’s Bill via Outstanding Debits: The SAR 2,000 offset appears under Outstanding Debits on Vendor#1’s bill. One-click reconciliation closes the bill without creating a bank payment or dummy entry.
