Moved a 93-Entity Indian Group From 93 Tally Files to One Odoo 18 System
Our client is a large Indian business group with operations across trading, logistics, warehousing, and financial services – structured as 93 registered legal entities spread across multiple states. The group moves significant volumes of goods, a substantial portion of which require active marine insurance coverage during transit.
Each entity had been running independently on Tally, with no shared ledger, no cross-entity reporting, and no centralised purchase or sales workflow. As the group grew, the lack of a unified system created compounding reconciliation overhead, GST compliance complexity, and operational blind spots, most acutely around goods insurance, where policy tracking and claim management were handled entirely through email and spreadsheets with no system record and no audit trail.
The client needed a unified, scalable ERP foundation to centralize operations, standardize processes, and enable real-time visibility across all entities.
- 93 Isolated Tally Instances, No Consolidated Group View: Each of the 93 entities maintained a separate Tally file and Chart of Accounts, with no real-time group-level view of receivables, payables, or intercompany positions. Consolidation required manual extraction from every instance.
- Multi-Entity Chart of Accounts Migration: A unified COA in Odoo 18 had to be mapped across 93 companies, including GST accounts, reconciliation settings, tax tags, intercompany accounts, and standardized bank configurations.
- No System for Marine Insurance Operations: Marine insurance policies, shipment coverage, claims, and insurer communication were managed through emails and spreadsheets, with no ERP-based tracking, audit trail, or linkage to goods and purchases.
- Tally Data Migration Across All 93 Entities: Contacts, products, stock items, and multi-year opening balances had to be extracted, cleaned, mapped, and migrated from Tally to Odoo. Unstructured Indian addresses also had to be converted into Odoo's required address fields.
- eCommerce Activity Running Outside the ERP: Online procurement and sales operated separately from the ERP, leaving purchases, sales orders, inventory, and invoicing disconnected from Odoo workflows.
- Phased Go-Live Across a Multi-Month Timeline: The rollout spanned two phases from August 2025 to September 2026, requiring Phase 1 deployment while Phase 2 data preparation and customization continued in parallel.
Ksolves, an AI-first Odoo development company, ran two parallel workstreams throughout the engagement: migrating data across all 93 entities and developing the Marine Insurance module and eCommerce integrations. Both were aligned with a phased rollout to minimize disruption and validate each component before deployment.
- Multi-Entity Chart of Accounts Design and Configuration: A unified COA was designed for all 93 Odoo companies, covering entity-specific IGST, CGST, SGST accounts, tax tags, reconciliation settings, standardized bank and cash accounts, fixed asset categories, and intercompany accounts for consolidated reporting.
- Full Tally-to-Odoo Data Migration: Tally data was analyzed and mapped to Odoo, including customer/vendor records, products, UoMs, categories, taxes, and opening balances. Unstructured Indian addresses were also parsed into Odoo's required fields and validated against Tally trial balances.
- Custom Marine Insurance Management Module: Ksolves built a custom Odoo module to manage marine insurance policies, shipment coverage, insured values, and claims. Email communication with insurers is handled within Odoo, with every interaction linked to the relevant policy for a complete audit trail.
- eCommerce Purchase Module: An eCommerce purchase module was implemented to connect online procurement with Odoo's purchase workflow. Orders are captured, matched with vendors, and processed through goods receipt and invoice matching, providing real-time inventory visibility.
- eCommerce Sales Connector: A sales connector synchronizes online orders with Odoo as confirmed sales orders, triggering delivery, invoicing, and inventory updates automatically, eliminating manual re-entry.
- Two-Phase Structured Rollout: The rollout followed four stages: Pre Go-Live Preparation, Phase 1 Go-Live, Phase 2 Go-Live, and Post Go-Live Hypercare. Phase 1 covered the initial entities and custom modules, while Phase 2 is bringing the remaining entities onto Odoo for group-wide consolidation by September 2026.

- eCommerce Procurement Now Visible in Odoo Inventory in Real Time: eCommerce purchase orders flow into Odoo's purchase and GRN workflows, providing real-time visibility into online sourcing and inventory.
- Online Sales Orders Now Trigger Delivery and Invoicing Automatically: eCommerce orders sync with Odoo as confirmed sales orders, triggering fulfilment, invoicing, and stock updates without manual re-entry.
- GST Reporting Now Consistent Across All 93 Entities: Standardized IGST, CGST, and SGST accounts, tax tags, and reconciliation settings provide a consistent foundation for GST reporting across all entities.
- Multi-Year Tally Data Migrated and Validated: Contacts, products, stock, and opening balances for Phase 1 entities have been migrated and validated against Tally trial balances, preserving historical financial data accurately.
Ksolves transformed a fragmented 93-entity Tally setup into a unified Odoo 18 platform with centralized financial visibility, standardized accounting, integrated eCommerce workflows, and a purpose-built Marine Insurance module.
