Ksolves Unified Field Sales, Manufacturing, and Finance to Scale a Perishable Foods Distribution Business
Overview

A food manufacturer and distributor producing short-shelf-life refrigerated and ambient products, sold through independent grocery, mainstream grocery, and convenience channels, ran order-taking across spreadsheets, phone calls, and messaging apps with no single source of truth anywhere. Field reps and drivers had no mobile tool for order capture or van sales, route planning was entirely manual, and the existing back office couldn’t support manufacturing, multi-warehouse inventory, or the multi-state tax complexity the business needed to keep growing.

Ksolves was trusted as a Salesforce implementation partner to unify retailer management, field and van sales execution, asset tracking, and AR visibility on Consumer Goods Cloud, integrated point-to-point with a ground-up rebuild of Odoo ERP for manufacturing and financials. Order-taking consolidated into one unified system, and route planning shifted from fully manual to dynamic, optimized daily journeys.

Challenge
  • Order-Taking Spread Across Spreadsheets, Phone Calls, and Messaging Apps: With no single source of truth, orders scattered across disconnected channels, making it impossible to get a reliable picture of what had actually been ordered at any given moment.
  • No Unified View of Retailer Relationships: Visit history and account status lived separately across three distinct sales channels, so no one could see a retailer's full relationship with the business from one place.
  • No Mobile Tool for Order Capture or Van Sales: Field reps and drivers had no way to capture orders or execute in-store fulfillment on a device, forcing everything through manual paperwork.
  • Fully Manual Route Planning: With no optimization anywhere in the process, daily dispatch planning was slow and inefficient by default.
  • No Structured Asset Tracking: Refrigeration units placed at retail locations had no tracking system, leaving the business blind to the condition and location of its own physical assets in the field.
  • AR Follow-Up Disconnected From Field Operations: Credit visibility and invoice follow-up ran separately from day-to-day field work, so reps had no way to factor account standing into a visit.
  • Back-Office Incapable of Supporting Growth: The existing system couldn't handle manufacturing, multi-warehouse inventory, or multi-state tax, all of which the business needed as it scaled toward new regions and 15,000-plus accounts.
  • No Self-Service Channel for Retail Customers: Retail customers had no way to view orders, invoices, or make payments themselves, pushing every routine question into an inbound call to the sales team.
Solution

The build centered on Consumer Goods Cloud as the core retail execution platform, with Ksolves bringing Salesforce implementation expertise to a ground-up rebuild of Odoo ERP handling manufacturing, inventory, and financials on the back end.

  • Retailer and Account Management: Digitized lead-to-account onboarding now gives every retailer a full Store 360 view across all three sales channels.
  • Field Sales and Van Sales Execution: Mobile order capture now lets reps and drivers handle in-store, judgment-based fulfillment directly from the field.
  • Route Planning and Optimization: Salesforce Maps Advanced now drives dynamic journey planning and re-sequencing, replacing fully manual route planning entirely.
  • Asset Tracking: Refrigeration equipment placed at retail locations now has per-unit tracking with condition checklists and service requests.
  • Promotions and Merchandising: Configurable promotions now trigger automated merchandising follow-up tasks instead of relying on manual reminders.
  • AR Follow-Up and Credit Visibility: Real-time invoice and balance visibility now ties directly into field workflows, giving reps account standing at the point of a visit.
  • Customer Self-Service Portal: Retail customers now track orders, view invoices, and make payments themselves through Experience Cloud.
  • ERP Modernization: Odoo ERP was rebuilt from scratch as the system of record for manufacturing, multi-warehouse inventory, procurement, and financials, connected to Salesforce through point-to-point Apex callouts, scheduled batch jobs, and Platform Events with no middleware layer.

  • Order-Taking Consolidated Into One System: Spreadsheets, phone calls, and paper records are gone, replaced by a single unified view of every retailer account across all three sales channels.
  • Faster Order-to-Cash Cycle: Real-time order and pricing sync between the field and back office now closes the gap that used to sit between a captured order and a fulfilled one.
  • Reduced Stockouts and Waste: Lot-level, expiration-aware inventory management in Odoo now tracks stock by expiration date, with automated first-expired-first-out enforcement lowering the risk of expired-stock delivery.
  • Improved Route Efficiency: Dynamic, optimized daily planning through Salesforce Maps Advanced replaced fully manual route planning entirely.
  • Faster AR Follow-Up: Real-time credit visibility tied directly to field workflows now supports faster AR follow-up and reduced days sales outstanding.
  • One Mobile App for the Whole Field Workflow: Field reps and drivers now use a single mobile app for visits, orders, and van sales, replacing manual paperwork across every one of those tasks.
  • Reduced Inbound Calls to Sales: Retail customers now access self-service order, invoice, and payment views directly, reducing the volume of routine calls landing on the sales team.
  • Architected to Scale: The platform is built to scale toward 15,000-plus retail accounts and new distribution regions without requiring architectural rework along the way.

Conclusion

This food manufacturer and distributor ran order-taking across spreadsheets, phone calls, and messaging apps with no single source of truth, no mobile tool for field reps, and a back office that couldn’t support the manufacturing and multi-state complexity the business needed to keep growing. Ksolves was trusted as a Salesforce implementation partner to unify retailer management, field and van sales, asset tracking, and AR visibility on Consumer Goods Cloud, connected point-to-point with a rebuilt Odoo ERP handling manufacturing and financials.

Order-taking consolidated into one unified system, route planning shifted from fully manual to dynamic and optimized, and the business gained real-time AR visibility tied directly into field operations for the first time. Retail customers now self-serve their own orders and invoices instead of calling in for routine questions.

The platform is architected to scale toward 15,000-plus retail accounts and new distribution regions without rework, with Agentforce earmarked for a future phase to bring AI-based visit recommendations and cadence optimization on top of the foundation already in place.
