Project Name
Odoo 15 to 18 Migration for Organic Contract Manufacturer
![]()
Our client is a contract manufacturer of organic and cosmetic products, delivering customer-owned formula development with INCI ingredient naming, compounding of bulk batches from approved formulas, filling and packing of bulk into finished palletised units, quality control, and pharmaceutical-grade regulatory documentation.
The firm manufactures on behalf of multiple customers who own their formulas, operates in a regulated, batch-driven environment, and must produce a complete compliance document stack, including Certificate of Analysis, Batch Release, Mixing Instructions, and Line Clearance, for every production run.
The organisation had run on Odoo 15 supported by several separate custom applications that duplicated standard Odoo functionality and required continuous manual synchronisation. The objective was a consolidated, configuration-driven Odoo 18 platform that could run formulas, compounding, and manufacturing as unified processes with lower maintenance cost, reduced upgrade risk, and a clear path to future Odoo versions.
Four custom applications duplicating standard Odoo, manual hand-offs at every stage of the production workflow, and a Lab module that was a custom Manufacturing clone, expensive, fragile, and impossible to upgrade without significant rework.
- Four Custom Applications Replacing Standard Odoo: Four custom applications replicated standard Odoo functionality, creating expensive maintenance, manual workflows, and complex upgrades.
- Duplicate Data Entry Across Multiple Applications: Product, BoM, and order data had to be entered and synchronized across separate applications, creating reconciliation effort and increasing the risk of inconsistencies.
- Manual Hand-Offs Between Production Stages: Formula development, compounding, and filling relied on manual transitions between disconnected applications with no automated routing or shared production state.
- Formulas Managed Separately from Bills of Materials: Formulas existed outside standard BoMs, requiring manual synchronization between formula and manufacturing records whenever changes were made.
- Compounding and Manufacturing Managed Separately: Compounding and manufacturing orders were handled in different applications, requiring manual coordination and increasing delays and handoff errors.
- Custom Lab Clone of Manufacturing: The Lab module was a custom clone of Odoo Manufacturing, making maintenance costly and every upgrade dependent on bespoke development.
- Opaque Numeric Product Codes: Products were identified using numeric codes with no business context, forcing frequent lookups and increasing data entry errors.
- No Single Source of Truth: Lab, compounding, and filling data were spread across separate systems, making reporting, traceability, and compliance heavily dependent on manual consolidation.
- Off-System Product Development Requests: Customer product requirements were captured outside the CRM, disconnecting sales from formula development and requiring manual follow-up and coordination.
Ksolves, an AI-first Odoo development company, delivered a consolidated, configuration-driven Odoo 18 platform in which the natural variants of OFS's business are expressed as one process split by a single field – MRP Type.
- Unified, Configuration-Driven Odoo 18 Platform: Ksolves consolidated multiple custom applications into a single Odoo 18 platform, using MRP Type to drive workflows instead of separate applications. This created a single source of truth, automated process routing, and simplified future upgrades.
- One Bill of Materials Powered by MRP Type: Formulas and manufacturing BoMs now exist as one record type separated by MRP Type. Quantity conversions happen automatically, eliminating duplicate formula management.
- One Manufacturing Order for All Production Flows: Compounding and manufacturing now use a single Manufacturing Order differentiated by MRP Type, automatically routing production, documents, and workflows without manual coordination.
- Standard PLM Replacing the Custom Lab: The custom Lab application was replaced with standard Odoo PLM enhanced with formula and QC capabilities, enabling automated revisions, sample approvals, and easier upgrades.
- Auto-Composed, Readable SKUs: Product names and barcodes are automatically generated from configurable attributes, creating meaningful, self-explanatory SKUs that reduce lookups and entry errors.
- Connected Product Development Workflow: Product development requirements are captured through a CRM-linked survey, automatically attaching responses to leads, notifying stakeholders, and eliminating manual requirement collection.
- Automated Batch and Pallet Processing: Batch compounding, QC recording, regulatory documentation, pallet tracking, stock movements, and fulfillment workflows are automated, with rollback available at every production stage.
- Automated Regulatory Documentation: Certificates of Analysis, Mixing Instructions, Batch Release, Line Clearance, Packing Slips, and Labels are generated automatically from production records to support compliance.
- Real-Time Production Scheduling: A team-based production calendar provides real-time visibility into capacity, output, pending quantities, revenue targets, and production efficiency.

From four parallel custom applications and manual hand-offs at every production stage to one consolidated, configuration-driven Odoo 18 platform where formulas, compounding, and manufacturing run as a single process.
- One Unified Odoo 18 Production Platform: Replaced four custom applications and manual production hand-offs with a single, configuration-driven Odoo 18 platform for formulas, compounding, and manufacturing.
- Four Applications Consolidated into Two Core Record Sets: Bills of Materials and Manufacturing Orders were unified using MRP Type, eliminating duplicate data entry and manual synchronization across production.
- 60–70% Fewer Manual Hand-Offs: Automated routing, document generation, and stock movements significantly reduced manual transitions between formula, compounding, and filling while cutting order setup effort by 40–50%.
- 30–40% Faster Product Identification: Readable, auto-generated SKUs replaced numeric product codes, reducing lookup time, improving naming consistency, and minimizing data entry errors.
- 25–35% Faster Formula Approval: Standard PLM with ECO-based revision control streamlined formula approvals through a structured, traceable workflow.
- 45–55% Lower Maintenance Effort: Replacing custom applications with standard Odoo modules reduced maintenance costs, simplified upgrades, and minimized divergence from the core platform.
- Complete Lot and Batch Traceability: Automated lot, serial, pallet, and stock tracking delivered end-to-end traceability and strengthened compliance across the production lifecycle.
By consolidating four custom applications into a unified, configuration-driven Odoo 18 platform, Ksolves transformed Organic Filling Solutions’ production operations. Standardized Bills of Materials, Manufacturing Orders, PLM, automated SKU generation, and integrated regulatory documentation eliminated manual hand-offs, reduced maintenance overhead, and established a single source of truth across formulas, compounding, and manufacturing. The result is a scalable, upgrade-ready manufacturing platform that improves operational efficiency while ensuring complete traceability and regulatory compliance across every production run.
