Overview

Our client is a manufacturing organisation whose receiving and quality teams operated independently, with no system-controlled quality gates between goods receipt and stock availability. Warehouse personnel validated receipts without a formal inspection process, meaning materials moved directly into inventory and production without any structured quality check.

 

The quality team had no visibility into which vendor supplied an affected batch, no historical rejection data to evaluate vendor trends, and no system-generated alerts to trigger corrective action. Inspection findings, where they existed, were maintained in spreadsheets and paper forms with no audit trail and no connection to purchasing, inventory, or manufacturing records.

 

The organisation engaged Ksolves to implement a proactive, end-to-end Quality Control architecture in Odoo 18 that would establish system-controlled quality gates, automate incoming inspection workflows, and deliver complete material traceability from vendor to finished product.

Key Challenges

These challenges highlighted the need for a connected quality management process that could bring inspection, traceability, and material acceptance under a single ERP workflow.

  • Uncontrolled Material Acceptance, No Inspection Before Stock Entry: Materials were received directly into inventory without a formal quality inspection. Defective materials could enter stock unnoticed, leading to production delays, rework, customer complaints, and limited vendor accountability.
  • No Vendor Quality Traceability: Quality teams could not easily trace defects back to the vendor, receipt batch, or product, making rejection trends and vendor performance difficult to analyze without manual data reconstruction.
  • Manual Inspection Documentation Outside the ERP: Inspection findings were recorded in spreadsheets and paper forms, disconnected from purchase orders, receipts, inventory lots, and manufacturing orders. This created audit gaps and limited visibility of quality data across teams.

  • Incoming Inspection Workflow: A connected workflow was implemented from Purchase Order → Receipt → Quality Check → Approval/Rejection → Stock Availability. Materials cannot enter available stock until the associated inspection is completed and approved.
  • Automated Quality Alert Generation on Failure: Failed inspections automatically create Quality Alerts capturing the vendor, product, affected lot, root cause, and corrective actions. This gives quality, procurement, and operations teams immediate visibility into failures.
  • Lot and Serial Traceability: Each lot is linked to its Purchase Receipt, Vendor, Inspection Result, Manufacturing Order, Finished Product, and Customer Delivery, enabling defects to be traced from origin to downstream impact.
  • Vendor Performance Dashboard: A Vendor Quality Performance dashboard was configured to track rejection rates, quality alerts, and inspection pass rates by vendor and product, helping procurement make data-driven sourcing and vendor management decisions.
